November is Data Protection & Record Keeping month at Safeguard-Me, and we're kicking off with the foundation of effective safeguarding: auditing your records. Yes, we know this doesn't sound the most fun but we'll do what we can to keep you interested!
If you've ever wondered whether your safeguarding files are truly up-to-date, accurate, and secure—this is your moment - told you we'd try to make it interesting! Let's transform record-keeping from a compliance headache into a streamlined system that protects children and your organisation. Follow our 7 Steps to 'data' heaven to ensure you're compliant and in cloud 9!
Why Audit Your Safeguarding Records?
An audit isn't just about ticking boxes. It's about:
- Child safety: Outdated or incomplete records can mean unvetted individuals slip through the cracks.
- Legal compliance: Ofsted, local authorities, and regulatory bodies expect accurate, accessible records.
- Organisational reputation: A single safeguarding failure can damage trust built over years.
- Operational efficiency: Knowing exactly who's checked, safe, and ready saves time and stress.
The 7-Step Safeguarding Records Audit
Step 1: Gather All Records
Start by collecting every safeguarding document across your organisation:
- DBS certificates (Enhanced, Standard, Basic)
- Barred List checks
- Right to Work documentation
- Proof of identity and address
- Professional qualifications and certifications
- Safeguarding training records and courses
- References (minimum two per staff member)
- Self-declarations and disclosure forms
Pro tip: If you're still using paper files or scattered email attachments, this step will highlight exactly why digital systems matter. (More on that in a couple of weeks)
Step 2: Check for Completeness
For each staff member, volunteer, and contractor, verify:
- Are all required checks present?
- Are there gaps in employment history?
- Have references been verified and documented?
- Is there a clear audit trail showing who approved each check?
Missing documents aren't just inconvenient—they're compliance failures waiting to happen.
Step 3: Verify Accuracy
Check that information is correct and matches across documents:
- Names spelled consistently
- Dates of birth matching ID documents
- Addresses current and verified
- DBS certificate numbers recorded accurately
- Qualification certificates genuine and up-to-date
Inconsistencies can indicate errors—or worse, fraudulent documentation.
Step 4: Review Expiry Dates
Create a master list of expiring documents:
- DBS checks (recommended renewal as per your policy)
- Safeguarding training (typically annual)
- First aid certificates (usually 3 years)
- Right to Work checks (varies by visa type)
- Professional registrations and memberships
Set reminders for renewals at least 30 days before expiry. Better yet, automate this process entirely with our system. If you're still reading, pat yourself on your back and give us a like on any of our posts
Step 5: Assess Security and Storage
Ask yourself:
- Where are records stored? (Filing cabinets, shared drives, cloud systems?)
- Who has access? (Is it restricted to authorised personnel only?)
- Are physical files locked? Are digital files encrypted?
- Is there a backup system in case of loss or damage?
- Can you retrieve a specific record within 5 minutes?
If your answer to that last question is "no," it's time to rethink your system. (Week 43 will help with that.)
Step 6: Ensure GDPR Compliance
Data protection isn't optional. Your audit must confirm:
- Records are kept only as long as necessary (check your retention policy)
- Sensitive data is processed lawfully and securely
- Staff members can request access to their own records
- You have a clear process for deleting outdated information
We'll dive deeper into GDPR compliance in the future but your audit should flag any immediate concerns.
Step 7: Document Your Findings
Create an audit report that includes:
- Date of audit and who conducted it
- Summary of findings (complete, incomplete, expired records)
- Action plan with deadlines for addressing gaps
- Recommendations for system improvements
- Give yourself a gold star!
This report isn't just for internal use—it's evidence of due diligence if you're ever inspected.
Common Audit Pitfalls (and How to Avoid Them)
Pitfall 1: Rushing the process
Solution: Schedule dedicated time. A thorough audit for a team of 20 might take 4-6 hours.
Pitfall 2: Focusing only on DBS checks
Solution: Remember, safeguarding is holistic. References, training, and Right to Work are equally critical.
Pitfall 3: No follow-up action
Solution: Assign responsibility for each action item and set clear deadlines.
Pitfall 4: Doing it once and forgetting
Solution: Schedule quarterly mini-audits and an annual deep-dive.
